Information we handle
Our master QR tag record contains only your pet's name, your chosen telephone number and a unique tag reference code. We may also temporarily handle information in WhatsApp, Facebook or email messages to process orders and answer enquiries. Website hosting logs may include technical information such as IP addresses.
Why and how we use information
We use tag details to provide the purchased QR tag service, enable someone finding your pet to contact you, identify replacement tags and respond to changes or removal requests. Contractual necessity is generally our legal basis for providing the purchased service. We explain the public display of your number clearly before creating a profile and obtain and record appropriate agreement or consent where required. We may also process limited information to meet legal obligations.
Your pet’s QR code profile
Your pet’s name and chosen contact telephone number are not displayed on the main ScanPet website. Each personalised tag has a unique QR code that opens your pet’s individual profile. When someone finds your pet and scans the tag, they can see the contact details needed to help reunite you with your pet.
The individual profile can also be opened by anyone who has its direct website link, without scanning the tag. Please provide only a telephone number you are comfortable sharing for this purpose. We aim to discourage search engines from listing individual pet profiles, but this does not make them private or password-protected.
Storage and sharing
Our master tag records are held locally in an XML file. Public pet pages are hosted on HostGator and display the information you choose to publish. We do not sell customer data. Hosting and messaging providers may process information as part of delivering their services, including potentially outside the UK subject to applicable safeguards.
How long we retain information
We keep tag records while needed to operate the active tag service, until a removal request is fulfilled, or for another applicable legal reason. We review records and remove information no longer needed. Order correspondence and legally required business records may be retained separately for appropriate periods.
Your rights and profile changes
Subject to applicable law, you may request access, correction, erasure, restriction or objection, and withdraw consent where consent applies. We may verify that you are authorised to change a pet's profile. Email privacy@scanpet.co.uk to request changes or removal. You can also complain to the Information Commissioner's Office.
Cookies
Our website may use necessary technical features and hosting logs. If non-essential cookies or tracking tools are introduced, we will update this information and obtain consent where legally required.
